Not the technology, which is mostly subscriptions you'd pay anyway. What drives the price up

  • More systems. A form, a WhatsApp number and a CRM is three integrations; adding a calendar and an accounting tool is five.
  • Messy data. Duplicates in the CRM, contradictory documents, no timestamps. Cleanup is real work and appears in honest quotes.
  • Approvals and exceptions. Each step where a person must approve is designed and tested with that person. Worth it for anything touching money or health.
  • A new WhatsApp number or CRM. Setup, verification and template approval add days outside the builder's control.
  • Undefined scope. "Something with AI" costs more than "reply to website leads within a minute and log them", every time.

What drives it down

  • A written one-sentence task with a number to measure.
  • Existing tools with admin access ready on day one.
  • Clean data, or a willingness to clean it first.
  • A decision-maker who answers within a day.

  2. Ask two or three builders for a two-week pilot quote for that task, with "done" defined, exclusions listed, and running costs estimated.
  3. Compare scope before price: a cheaper quote that skips testing on real data is not cheaper.
  4. Ask each for a demo of something similar and a client you can call.
  5. Prefer builds in your own accounts, in tools your team can open.

Because 'a lead-reply automation' for a clinic with one form and one WhatsApp number is a different job from one for a business with five channels and a messy CRM. The scope and the data decide most of the price.

What are the monthly costs after the build?

Tool subscriptions (workflow platform, WhatsApp provider, AI usage) and, if you take one, a support plan. Ask for both numbers in the quote; a build with no plan for running costs is half a quote.
